Tender Lead

The Tender Lead will provide contractual and commercial support. The primary aim is to ensure that the company balances risk and commercial considerations, from receipt of tender enquiry through to contract award, project start up and project close-out, along with direct input into the strategic business plan.

Key Accountabilities

  • Ensure tender and proposal activities are recorded in company Business Management System (BMS)
  • Act as the focal point to ensure a thorough tender review process in undertaken in collaboration with other business functions, including identifying where security may be required to mitigate credit, or performance risk, once review has been completed, confirm decision to proceed or decline to tender
  • Manage the life cycle tender/proposal process through company BMS
  • Responsible for managing all commercial and contractual aspects of tenders and budget proposals, including associated subcontractor(s) and where applicable, in conjunction with the Supply Chain Lead, prepare supplier proposals in accordance with Company procedures
  • Prepare detailed and accurate cost estimates, including contingency and risk provisions in conjunction with the relevant Project Manager
  • Act as the focal point for the review, preparation and negotiation of all contracts entered into by the Company, and in the performance of this; seek legal and/or financial guidance, where necessary
  • Maintain comprehensive clarification registers for main contracts and subcontracts, where applicable and recorded in the Company BMS
  • Prepare commercial and contractual deliverables for inclusion in client tender submissions, i.e. commercial, contractual, and technical qualifications
  • Compile and manage all pricing documentation along with any other associated documentation required in line with the tendering process
  • Ensure client contract documentation is duly executed and distributed
  • Subcontractor commercial management with support from Supply Chain
  • Ensure proper handover of all relevant commercial and contractual documents between departments; for example the Operations team following contract award
  • Ensure the “as-bid” budget is correctly prepared, calendarised and integrated into the project reporting tools for post contract tracking and management
  • Provide post contract commercial and contractual support to the relevant Project Manager on all aspects of the main contract and subcontracts
  • Assist in reviewing invoices in conjunction with Project team, prior to submission to the client
  • Develop and improve Film-Ocean standard contract templates with a focus on continuous improvement
  • Undertake any other associated tasks as the Company may reasonably require.

QHSE Responsibilities

  • Take reasonable care for your own health and safety and that of others who may be affected by what you do, or not do
  • Co-operate with your employer on health and safety matters
  • Utilise provided recycling facilities
  • Clean up and report any spills
  • Correctly use work items provided by your employer, including PPE in accordance with training and instructions
  • Not to interfere with, or misuse anything provided for your health and safety, or welfare
  • Report all Health, Safety, Environmental and Quality concerns to the HSEQ Manager
  • Work to Film-Ocean HSEQ processes and procedures and inform the HSEQ Manager of any omissions or changes required
  • Ensure that safety policies and procedures are implemented, understood and adhered to at the work location, so far as is reasonably practicable in order to ensure a safe working environment
  • Promote a proactive commitment to Film-Ocean’s HSEQ initiatives.

Qualifications/Experience

  • Experience in a Contracts or Tendering role, including LOGIC
  • Sound contractual knowledge and analytical skills
  • Experience of operating in international jurisdictions and associated risks
  • Educated to degree level or equivalent experience
  • Environmental training general awareness
  • Safety training general awareness.
