Project Inspection Coordinator

Film-Ocean is a specialist subsea ROV and inspection services company, part of the international STAPEM Group, operating globally with a reputation built on technical excellence and safe, high-quality project delivery. Based at our headquarters in Ellon, Aberdeenshire, we're looking for an experienced Project Inspection Coordinator to take the lead on planning, coordinating, and delivering inspection activities across multiple offshore and onshore projects.
This is a pivotal role for someone who thrives in a fast-paced, multi-project environment — someone who is equally comfortable managing client relationships, coordinating inspection teams, and ensuring every campaign is delivered to the highest standard.
What you'll be doing
You'll act as the focal point between clients, inspectors, project teams, vendors, and operational stakeholders, ensuring inspection campaigns are safely resourced, executed, and reported in line with company procedures, client requirements, and industry standards. Your responsibilities will span:
Project Coordination
- Coordinating all inspection activities throughout the project lifecycle
- Developing and maintaining inspection schedules aligned with project requirements and delivery milestones
- Allocating inspection personnel and resources to meet operational demands
- Monitoring project progress and ensuring activities are delivered safely and efficiently
- Liaising with internal departments to support effective project execution and resource planning
Client and Stakeholder Management
- Acting as the primary point of contact for clients on inspection requirements and service delivery
- Attending project meetings, progress reviews, and client planning sessions
- Building and maintaining strong working relationships with clients, contractors, and suppliers
- Providing regular updates on project status, inspection outcomes, and resource availability
Inspection Management
- Coordinating offshore and onshore inspection campaigns, ensuring personnel are suitably qualified and competent
- Reviewing client scopes and developing inspection plans, methodologies, procedures, and risk assessments
- Ensuring inspection activities comply with applicable standards, legislation, and client requirements
- Verifying inspection data and reports are completed accurately, quality checked, and issued on time
- Identifying, escalating, and monitoring non-conformances, risks, incidents, and corrective actions
- Supporting continuous improvement of inspection processes and best practices
Resource Planning
- Monitoring personnel mobilisation and demobilisation activities
- Verifying personnel competency at team selection stage before mobilisation
- Working with operations and management teams to forecast resource requirements
- Conducting or supporting competency assessments and development planning for inspection personnel
Health, safety and environment
At Film-Ocean, HSEQ is embedded in everything we do. In this role, you'll be expected to promote a positive safety culture, ensure inspection activities are supported by appropriate risk assessments and safe systems of work, and report and investigate incidents, hazards, and near misses in line with our procedures.
What we're looking for
Essential
- 5–10 years of offshore experience as an Inspection Coordinator within energy, oil & gas, renewables, marine, or industrial sectors, with prior experience as an Inspection Engineer and Data Recorder
- Strong understanding of inspection techniques, planning, and reporting processes
- Experience managing multiple projects and competing priorities
- Proven ability to liaise effectively with clients and operational teams
- Experience reviewing inspection reports, anomaly registers, and quality assurance documentation
- Demonstrable understanding of subsea asset integrity inspection programmes and reporting systems
- Experienced user of integrity management programmes such as Nexus, Elementz, and Apollo
- HNC/HND, Technical Apprenticeship, NVQ Level 3+, or equivalent relevant industry experience
- CSWIP 3.4u qualification
Desirable
- Previous experience as an Onshore Project Inspection Coordinator
- Experience supporting offshore personnel mobilisation and logistics
- NDT qualification (PCN, ASNT or equivalent) in Ultrasonics, ACFM, CP, or other subsea NDT methodologies
- Experience of automating office functions or refining workflows
